ChatGPT can be a great helper when writing Excel formulas. Not everyone knows how to write complex formulas for Excel, write VLOOKUP, or create pivot tables. With ChatGPT, anyone can now generate Excel formulas and analyze the basic KPIs of their business. In this article, I will tell you how to carry out the formula generation process step by step, from setting goals to providing feedback to ChatGPT. Finally, we discuss the drawbacks of using ChatGPT to generate Excel formulas and introduce a better alternative.

How to use ChatGPT for Excel formulas?
This section introduces how to use ChatGPT to generate Excel formulas through six steps:
- Define your goalStep
- Collect and organize dataStep
- Upload the Excel worksheet to ChatGPTStep
- Request the formulaStep
- Test and validate the formula
- Provide feedback and refineLet's go through them one by one.
Step 1: Define your goal
Your first step should focus on defining your goal for using Excel formulas. You must have objective clarity, because this will directly affect the effectiveness of the formulas you get from ChatGPT.Start by understanding your data and end goal. Before prompting ChatGPT to output a formula, take a step back and understand your data and what you can accomplish with it.Ask yourself – do you want to perform basic arithmetic operations on the data? Or do you want to go deeper? You must clearly define the goal (ultimate goal) you are setting for the Excel formula. What do I mean by this?Instead of setting a goal such as “need a formula for sales data,” specify how you want to process the sales data: “I need a formula to calculate the average monthly sales for the first quarter.”Next, consider different scenarios.Brainstorm different scenarios in which the data may differ. Here is an example: if you are creating a formula to calculate employee bonuses, consider factors such as minimum thresholds, different bonus percentages, or caps (if any). Finally, specify any constraints or assumptions you want ChatGPT to consider when generating the Excel formula.
Step 2: Collect and organize your data
This is one of the most important steps, because collecting and organizing data can directly affect the effectiveness of ChatGPT's output. If you want practical and accurate answers from ChatGPT, make sure your data is formatted correctly. Here are a few things to keep in mind when collecting and organizing Excel data:
- First, collect all the data you may need to build the Excel table. This may include compiling data from different sources, databases, or CRMs.
- Arrange the data logically and clearly in Excel. Put related data in the same columns or rows, use consistent data formats, and format the data correctly.
- To make your data easier to understand and manage, convert data ranges into Excel tables. In addition, use named ranges for specific data sets, as this makes referencing them in formulas easier and clearer.
- Delete any irrelevant or redundant data. Correct any discrepancies in the data, such as incorrect entries, duplicates, or missing values.
- Clearly label columns and rows. If a worksheet contains multiple types of data, separate them into different sections or worksheets.
Step 3: Upload the Excel worksheet to ChatGPT
With the latest ChatGPT updates, when you upload an Excel worksheet to ChatGPT, it can now analyze it.To do this, you must have a valid GPT-4 subscription. Here is how to get started:Open GPT-4 and click the paperclip icon “📎” at the left end of the chat box.
Upload a CSV file containing the data.
Provide GPT-4 with all the specific instructions you have.
Step 4: Request the formula
When asking ChatGPT to generate an Excel formula, be as direct as possible. Clearly state what you want the formula to do.Here is an example prompt:I need a formula to calculate the weighted average of these sales figures based on different regional weights. If you have any special conditions or requirements that the formula must follow, mention them to ChatGPT in the same prompt. This may include how to handle empty cells, rounding rules, or conditional logic. If you do not understand why ChatGPT gave you a specific formula, ask for its reasoning. You can also ask for alternative methods to calculate the same KPI in the worksheet. Finally, ask ChatGPT about any limitations or potential issues with its suggested formula, such as performance issues with large data sets or compatibility issues with different Excel versions. Here is how I asked ChatGPT for an Excel formula to calculate the monthly sales revenue for each product.Prompt:Let's start with the KPI: monthly sales revenue for each product. Give me a calculation formula.
Step 5: Test and validate the formula
Copy the formula from ChatGPT and paste it into the Excel cell you want to populate with the result, and make any necessary edits. Confirm that the result is correct before filling the rest of the cells.
Continue tracking all the KPIs you want by asking ChatGPT for Excel formulas.
Step 6: Provide feedback and refine
After testing and validating the formula, your next step should be to provide feedback and refine the solution as needed. You can do this by asking ChatGPT a few follow-up questions. This step involves a feedback loop with ChatGPT, in which you can communicate any issues, discrepancies, or additional requirements and receive improved or adjusted formulas in response. You can start the process by summarizing the results. The summary will analyze how the formula performed during testing, whether it achieved the expected results, and whether there were any discrepancies or errors. If the formula does not work as expected, identify the specific problem. This may include incorrect results, errors in certain cases, or performance issues with large data sets. Most importantly, communicate these issues to ChatGPT in detail. The more specific your feedback, the better ChatGPT can understand the problem and provide an improved solution. For example, instead of saying “the formula doesn't work,” explain the exact nature of the problem, such as “the formula cannot exclude zero values in the calculation.”Based on the identified problems, ask ChatGPT to make specific adjustments. This may be a request to modify the current formula or explore alternative solutions that may avoid the identified issues.Understand that refining a formula can be an iterative process. It may require multiple rounds of feedback and adjustment to get it right, especially for complex formulas and tasks. After receiving the adjusted formula, repeat the testing and validation process (Step 5). Make sure the improved formula now meets all your requirements and performs correctly in all scenarios.
Drawbacks of using ChatGPT with Excel
Using ChatGPT with Excel certainly has some drawbacks. In my view, the biggest one is that it does not allow you to join your team and analyze data. Here are all the drawbacks you may encounter.
Drawback 1. Limited understanding of specific contexts
Although ChatGPT has a vast knowledge base, it does not fully understand the specific context or unique requirements of an Excel task. It relies on the information provided by the user and may not grasp the nuances of a specific data set or business need.
Drawback 2. Complexity and advanced features
ChatGPT may struggle with highly complex or advanced Excel functions and features, especially those that are less commonly used or very new. Its training includes a wide range of common scenarios, but it is not good at handling very specialized or advanced Excel tasks.
Drawback 3. Cannot join your team
When analyzing Excel data, it is best to have your team present. ChatGPT allows you to generate Excel formulas individually, and you can share the chat with your teammates, but you cannot collaborate with your team in real time. You can do this only when you use Team-GPT (more on that later).
Drawback 4. Error checking and validation
ChatGPT can suggest formulas, but it cannot verify their accuracy in the context of a specific Excel file. Users need to manually check and validate formulas to ensure they work as intended and produce correct results. |
